Email troubleshooting

Quick fixes for the most common email problems, jump to your issue.

Cannot send email

You can receive but not send, almost always an outgoing (SMTP) setting.

  1. Check the outgoing server

    Should be mail.your-domain.com on port 465 (SSL). If blocked, use 587 (STARTTLS).

  2. Turn on SMTP authentication

    “My outgoing server requires authentication” must be ON, using the same login as incoming.

  3. Use your full email as username

    Not just the part before the @.

  4. Avoid port 25

    Never use port 25. On mobile data, try Wi-Fi to rule out a blocked port.

Cannot receive email

  1. Check the incoming server

    mail.your-domain.com, IMAP port 993 (SSL).

  2. Verify username & password

    Username is your full email; test the password in webmail.

  3. Check the mailbox is not full

    A full mailbox stops new mail arriving, see Mailbox full below.

  4. Check Junk / Spam

    Messages may have been filtered there.

Password reset

  1. Reset the password

    Change it in cPanel, or contact our support team to reset it for you.

  2. Update every device

    Update the password in every mail app, phone, computer and webmail.

  3. Watch for lockouts

    Apps retrying an old password can trigger a temporary block. Update or sign out of them, then try again.

SSL / TLS settings

Always use SSL/TLSNever set encryption to “None”. Secure ports: IMAP 993, POP3 995, SMTP 465.
Certificate warningMake sure the server name is exactly mail.your-domain.com, a mismatched name is the usual cause.

Mailbox full

A full mailbox stops you receiving new mail. Free up space:

  1. Delete large old emails

    Especially those with big attachments.

  2. Empty Trash & Junk

    Deleted mail still uses space until these are emptied.

  3. Clear the Sent folder

    Remove large attachments you no longer need.

  4. Need more space?

    Contact us to increase your mailbox quota.
